Running on Gut or Data? How SaaSOffice Turns Flex Spaces into ROI Machines

posted on June 3, 2025 by Emilie Lashmar

You don’t scale a flex space business by stitching together half a dozen tools and hoping for the best. You scale it by running smarter — with data, automation, and systems that actually work.

That’s where SO COWORK comes in.

Born inside the real-world grind of a leading coworking operator, SO COWORK was built to solve the headaches most platforms overlook: low visibility, clunky admin, wasted time, and missed revenue. It’s not theory. It’s four years of testing, refining, and obsessing over what makes a workspace not just function — but perform.

Now, after proving its value across France, SO COWORK is bringing its all-in-one operating system for flex to the UK. And it’s arriving with a point to prove: ROI isn’t a buzzword. It’s the benchmark.

What problem were you solving when SaaSOffice was born?

SaaSOffice was created to address a critical pain point for coworking and flex office operators: how to drive predictable, profitable growth in a sector where margins are tight and competition is rising.

Operators were often held back by fragmented systems and manual workflows that made it hard to track performance, optimize acquisition, and scale operations.

SaaSOffice solves this by providing an all-in-one, ROI-driven platform that helps operators:

  • Increase revenue per square foot through better lead management, pricing optimization, and customer retention,
  • Boost occupancy rates with data-backed insights and automation of marketing and sales efforts,
  • Reduce operating expenses by streamlining workflows and removing the need to scale headcount with growth.

Every feature we build is designed with ROI in mind, enabling operators to measure, improve, and scale what matters most: occupancy, efficiency, and profitability.

We’re not just a software tool ,we’re a growth engine for space operators who want to turn square meters into smart business outcomes.

Was there a clear gap in the market, or did this evolve from something internal?

There was a clear gap: operators lacked a solution built specifically to drive revenue and operational efficiency in coworking.

SaaSOffice was incubated within a major coworking operator to solve real, day-to-day challenges, from boosting occupancy and revenue per square meter to reducing costs through automation.

This hands-on validation ensured we built a platform by operators, for operators ,with ROI as the guiding principle from day one.

How would you describe SaaSOffice in one sentence ,to someone who’s never heard of it?

SaaSOffice is the invisible layer of technology that makes flexible workspaces more human, more efficient, and easier to scale.

You’ve been strong in France. Why the UK, and why now?

After strong traction in France, one of our key clients expanded internationally and chose us to support their growth, prompting us to develop multi-country features like multi-currency. The UK is a mature, innovation-driven market, and our platform is now fully ready to help British operators scale profitably.

What made Manchester the right place to launch first?

Manchester was a strategic choice because it hosts GCUC UK, the leading community and event platform for the coworking and flexible workspace industry. GCUC’s mission, to connect, inspire, and equip operators shaping the future of work, aligns perfectly with our own vision.

We didn’t just want to enter a new market; we wanted to connect directly with the operators driving innovation in workspace models. GCUC creates the ideal environment for that: a mix of thought leadership, industry insight, and real conversations with the people building the future of flex.

Launching in Manchester, during GCUC, allows us to stay deeply connected to the market, to listen actively, and to ensure that SaaSOffice continues to deliver a platform that solves real-world, ROI-driven challenges for workspace operators.

What have you learned about the UK workspace market since entering it?

At the moment we’re exploring opportunities into the market.

Any assumptions that were right ,or totally off?

Our assumption that the UK is a dynamic and competitive market was absolutely right, operators here are tech-savvy, growth-oriented, and already exposed to multiple platforms. But that’s exactly why we came: to prove that we bring something different.

What we believe is that while the tools may exist, there’s still room for ROI-driven, operator-tested solutions that go beyond features, platforms that actually move the needle on profitability and operational efficiency.

There’s room for real value, and we want to prove that we have a place in this ecosystem.

What makes your platform different?

SaaSOffice is a truly all-in-one platform, designed from the ground up for coworking and flex office operators, covering everything from CRM and contract management to billing, facility oversight, and end user experience.

What makes us different is our DNA: the product was incubated for four years inside a real coworking network, so every feature was born out of day-to-day operational needs, not theory.

Today, thanks to our dedicated 50-person tech team, including our own AI Lab, we’re continuously evolving the platform to offer smarter, more scalable tools that support both growth and operational simplicity.

What really sets us apart is the control we give operators: with SaaSOffice, they gain real-time visibility into their entire workspace portfolio, and the power to take action in just a few clicks. Whether it’s adjusting pricing policies, launching a targeted promotion, or indexing contracts, what used to take days, with multiple teams and a lot of risk ,can now be done instantly, safely, and centrally.

And to make the experience even more seamless, we’ve also integrated native IoT through the acquisition of our own hardware company, enabling things like automated access, smart lockers, or energy management, all managed through the same interface.

SaaSOffice isn’t just software. It’s the operational brain behind a new generation of flexible, responsive, and human-first workspaces.

What do users get with SaaSOffice that they won’t find elsewhere?

What truly sets us apart is the partnership mindset we bring: our clients work hand-in-hand with a dedicated team that deeply understands the coworking industry, because we come from it.

We don’t just sell software, we co-build long-term success with our customers, constantly evolving the platform based on real-world feedback to keep them ahead of the curve.

You call yourselves a “workspace-as-a-service” platform. What does that mean in practice?

It means we don’t just offer software ,we deliver a complete, ready-to-use service that helps operators run their space from A to Z. From managing access and bookings to invoicing, analytics, and community engagement, everything is centralized in one flexible, cloud-based platform.

For operators, it means greater automation, real-time control, and actionable insights to support decision-making ,all while freeing up time to focus on what truly counts: strengthening relationships, supporting their teams, and growing their community.

And for the people using the space day-to-day?

For members, SaaSOffice is all about ease and experience. From the moment they join, they can access the space, manage their profile, book services, or even open a locker ,all from a single, intuitive app. Thanks to our IoT integrations ,including WelcomR sensors ,even things like charging stations, F&B machines, or smart doors are part of that seamless journey.

And because our app is white-label and powered by a customizable marketplace, each space can offer a curated, branded experience that reflects its own identity and values.

At the end of the day, we’re here to make the workspace feel easy, welcoming, and dynamic, a place where everything works smoothly so people can focus on working, connecting, and growing.

What’s your vision for the workspace of the future?

The workspace of the future is above all human. It’s a place where everything works effortlessly in the background so people can focus on what really matters: connecting, creating, and growing together.

We imagine spaces that are fluid, service-rich, and community-led, where members access everything they need through a single, intuitive app. From entering the building to joining a workshop, unlocking a locker or booking a service, the experience is seamless and empowering.

Behind this simplicity, SaaSOffice gives operators smart tools and automation to manage their spaces efficiently. But more importantly, it frees them to spend less time on admin and more time building real relationships with their members.

Because the future of work isn’t just flexible or digital, it’s meaningful, shared, and deeply human.

What does success look like in the UK over the next 12 months?

Our goal is to onboard 3 to 5 leading UK operators within the next year. More than growth, it’s about proving that our model, already validated in France, creates real value in a new, competitive market.

Success isn’t just measured in footprint or user numbers, but in the impact we have : helping operators boost occupancy, improve retention, cut costs, and grow sustainably.

We’re not here to scale for the sake of it, we’re here to become a trusted partner for operators who want to build smarter, more profitable spaces.

Why did you want to be part of GCUC UK?

Because GCUC is where the real conversations happen. As a platform built for flex and coworking operators, it’s essential for us to stay connected to those shaping the future of workspaces. GCUC UK, especially this year in Manchester, brought together a vibrant, forward-thinking community, and we wanted to be right there in the middle of it.

Beyond the great energy and connections, it’s also a place for listening. Every market has its own rhythm, challenges, and ambitions ,and GCUC gives voice to those nuances. It was the perfect setting for us to learn from UK operators, validate our approach, and keep refining a product that serves their day-to-day reality.

It was also the ideal moment to share what we’ve built in France: a flexible, automation-driven platform that helps operators focus less on admin and more on people ,their teams, their members, their community. Because at the end of the day, our mission isn’t just tech. It’s enabling better, more human workspace experiences. And GCUC is exactly the kind of community that shares that vision.

What’s next for SaaSOffice in Europe and beyond?

In 2025, we’re taking SaaSOffice across Europe with one clear goal: help flex operators run better businesses, faster.
Our platform is ready ,scalable, multilingual, and designed to adapt to local needs. Now it’s about activation: getting operators onboard, supporting them hands-on, and delivering real results.

We’re focused on scaling with purpose. After years of refining the product alongside operators, we know what works. The next step is to bring that value to new markets ,like the UK ,without losing sight of what matters: impact.

Growth, for us, means more than expansion. It means helping operators boost occupancy, cut costs, and strengthen their communities ,all through a platform built to serve them.
